Event Based Notifications - Deliver Tool



EBNs are a way to automate communication with your clients and make things way easier for you! 

  • Where do you make them? Within the "Reporting" app and select "Deliver" 
  • What info goes in the messages? You get to pick! You create a custom report in Report Builder with all sorts of data (like assets or performance) and that info gets pulled into the message. It feels very personalized for your clients.
  • How does the client see it? Either right in an email or through a link in a text message. 

Things You Need To Do Before Setting Up EBNs:

  • Get Permission: Make sure you have the "Deliver Notifications" privilege in the "Manage Users" app. You need Read/Edit/Delete checkboxes checked. 
  • Create a Report: You'll need a report made in Report Builder. This is what the client actually sees in the message.
  • Make a Group: In the "Grouping Manager" app, you need a group of clients you want to send the notifications to. Review the video link for help with this!

EBN Process - Step-by-Step (Super Simple):

  1. Make a Template: In the "Deliver" section, create a new template. Fill it out with info like what report to use and who to send it to.
  2. Check the Email Queue: When an event triggers an EBN, it goes into this queue. Think of it like a "waiting to send" list. You have to go and approve them before they actually get sent.
  3. Approve and Send: Find your EBN in the queue, click "Allow Send", and boom! It'll go out at the top of the next hour.
  4. Keep an Eye on the Queue: It's a good idea to check the queue regularly and approve those notifications.

Creating a New EBN - What to Fill Out:

  • Send As: Choose email or text.
  • Name & Description: Give your template a name and description for your own organization.
  • Start & End Dates: When should it start and when should it stop sending? (Important: Start date must be today or in the future!)
  • Event: What's triggering this notification (like a birthday or a new account)?
  • Frequency: How often should it go out?
  • Send To: The client group you made earlier.
  • From: Who's the email from?
  • Subject: What's the email subject?
  • Report: Which report should it include?
  • Body Text: The actual message! You can even use "data tags" (those "@ tags") to pull in client info automatically.

Types of Events:

  • Lots of different events trigger notifications, like hitting an AUM threshold, birthdays, new accounts, and more. Check out the full list within this article. 
  • AUM Threshold Tip: If you use the AUM threshold event, you might want to remove the household from the group after it sends so it doesn't keep triggering.

EBN Extras:

  • Right-Click for Options: If you right-click an EBN, you can edit, preview, delete, or check the email queue. It is best practice to preview the content before sending it out.
  • Email Queue Actions: In the queue, you can also download PDFs, view content, allow send, do not send, or recreate the email.
