Organizing Accounts with Portfolio Groups

What are Portfolio Groups?

Portfolio Groups are custom groupings of accounts within a household that can be shown in reports and the Orion Client Portal. They are useful for grouping similar kinds of accounts in the Household that are in different registrations. For example, grouping Retirement accounts in the household together. 


The type of accounts you group together and the reason for the group is entirely up to you! For example, you could show a group of accounts in the household that have an "Eco-Friendly" investment focus, or you could group together accounts which have different management styles, such as Aggressive, Focused Growth, Growth and Income, into one general category named: Growth.


Creating Portfolio Groups

To create portfolio groups for a household, launch the Portfolio Audit app (1) and select Households (2) from the left. Right click on the household name and select: Edit Household (3).

  • Select Portfolio Groups from the left and make sure the Group Maintenance tab is selected (it is selected by default).
  • Click the New Group button.
  • Give the Group a name

    Click on the Type dropdown selector and choose at least one of the options this portfolio group will be used from (this can be edited later as needed):

    • Composite
    • Reporting
    • Trading
  • Once you have created all your Portfolio Groups, click: OK  
  • Save your edits to the Household by clicking: Save   


Assigning Accounts to Portfolio Groups

  • Launch the Portfolio Audit app and select Households from the left
  • Right click on the household and select: Edit Household
  • Select Portfolio Groups from the left
  • Select the Account Assignments tab
  • Choose the grouping level you would like to assign accounts to from the selection at the top: ReportingComposites, or Trading
  • Select the checkbox next to any Accounts to include in the Portfolio Group above it.
  • Select: Save when done to save your changes


Account Assignments by Registration

Streamline your account organization by assigning Portfolio Groups based on registration. When you assign a registration to a Portfolio Group, all accounts currently associated with that registration, plus any accounts added to the registration in the future, are automatically added to the group.  This ensures your Portfolio Groups stay up-to-date without requiring manual updates every time a new account is added to the registration. 


Simply select the desired registration within the Household's Portfolio Groups to apply this dynamic grouping.


 

Linked Accounts

Please note, you will be able to see and add any accounts in the household, regardless if the account is active or if it has been previously cancelled. When adding accounts like this to a portfolio group, you will need to add both the currently active account, and the cancelled account it is linked to. This also applies to any Reporting Only accounts in the household.



Viewing and Using Portfolio Groups

Portfolio groups can be viewed in a few places. Internally you can view them in the Portfolio Audit app and on your Orion Dashboard in Portfolio View. Clients can see their accounts organized by portfolio groups on their Client Portal. You can also use portfolio groups as a grouping when constructing sub-reports in the Sub-Report Builder.

To view all portfolio groups, select Portfolio Groups (1) from the left. Right click on any portfolio group you would like to edit and select Edit Portfolio Group (2).

In the Portfolio View on the Orion Dashboard

  • From your Orion Dashboard, click on the Portfolio View button and enter a client name or ID
  • Click the triple dot menu
  • Select Settings
  • Change the Default View under General to Portfolio Groups

In the Client Portal

To use Portfolio Groups in the Orion Client Portal, you need to change the Managed Account Grouping setting in the Client Experience app under Portfolio to Portfolio Groups. This is a firm-wide setting that applies to clients with portfolio groups set up in their household.


Clients who do not have accounts assigned to a specific portfolio group in their household will see their accounts grouped under Unassigned
